Privacy Policy
Last updated: 23 October 2026
This policy explains how All Saints East collects, uses and looks after your personal information, and the rights you have over it. We take your privacy seriously and only ask for what we need to care for you and run the life of the church well.
Who we are
All Saints East is the working name of The Parochial Church Council (PCC) of the Ecclesiastical Parish of All Saints, Stechford, registered charity number 1218594, based at All Saints Church, Albert Road, Stechford, Birmingham, B33 8UA. The PCC is the data controller for the personal information described here.
If you have any questions about this policy or your information, please contact us at [EMAIL TO ADD] or write to us at the address above.
What information we collect
Depending on how you get involved with us, we may collect:
Contact details, such as your name, email address, phone number and postal address, when you fill in a form, sign up through ChurchSuite or get in touch with us.
Information about how you are involved in church life, such as the groups you attend, rotas you serve on and events you book.
Giving details, including Gift Aid declarations, if you give to the church.
Information about children and young people who attend Kids, Youth or Little Saints, including emergency contacts and any medical, allergy or additional needs information that parents or guardians choose to share with us.
Information we are required to keep for safeguarding purposes, including DBS checks for volunteers working with children or vulnerable adults.
Basic information about how you use this website (see our Cookie Policy).
How we use your information
We use your information to:
Reply to your messages and welcome you when you visit.
Organise our gatherings, groups and events, and provide pastoral care.
Run our children’s and youth activities safely.
Process your giving and claim Gift Aid from HMRC.
Keep you up to date with news and events, where you have asked us to.
Meet our legal responsibilities, including safeguarding, charity law and keeping accounts.
We will never sell your personal information.
Our lawful basis
We only use your information where the law allows us to. Depending on the situation, this will be because you have given your consent; because it is necessary for our legitimate interests as a church (for example, keeping in touch with members of our church family); because we have a legal obligation (for example, safeguarding or Gift Aid records); or to fulfil an agreement with you.
Some information, such as your religious beliefs or health details, is known as ‘special category’ data. We process this as a not-for-profit religious organisation in the course of our legitimate activities, with appropriate safeguards, or with your explicit consent, or where it is needed for safeguarding.
Who we share it with
We only share your information where we need to, and always securely. This may include:
The Diocese of Birmingham and other Church of England bodies, for example for safeguarding or the church electoral roll.
Trusted service providers who help us run the church, such as ChurchSuite, our online giving provider [TO ADD], our email provider and our website host (Framer). They only use your information on our instructions.
HMRC, if you have made a Gift Aid declaration.
The police or other authorities, where we are legally required to or where someone may be at risk of harm.
How long we keep it
We keep your information only for as long as we need it, following the Church of England’s guidance on record keeping. For example, Gift Aid records are kept for six years after the end of the financial year they relate to, and safeguarding records are kept in line with national safeguarding guidance. When information is no longer needed, we delete or destroy it securely.
Keeping your information safe
We take sensible steps to protect your information, including limiting access to the people who need it, using secure systems and training our volunteers. Some of our service providers may store data outside the UK; where they do, we make sure appropriate safeguards are in place.
Your rights
You have the right to:
Ask for a copy of the information we hold about you.
Ask us to correct anything that is wrong or incomplete.
Ask us to delete your information or limit how we use it.
Object to us using your information, including for keeping in touch.
Withdraw your consent at any time, where we rely on it.
Ask for your information to be passed to another organisation.
To use any of these rights, contact us at [EMAIL TO ADD]. We will respond within one month.
If you are unhappy with how we have handled your information, please talk to us first. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
